Why Promo Codes Expire Silently and How to Catch It Automatically

A scenario every CPA team knows: a partner launches traffic on an offer with a promo code, there are no conversions, the partner messages the manager. The manager checks — the code expired three days ago. The launch is ruined, the partner's budget is burned, trust is damaged. And the most frustrating part: nobody did anything "wrong" — there was simply no reminder anywhere.

Why this happens systematically

Promo codes are a no-man's-land of responsibility. Here's the typical chain:

A promo code's expiry date is known in advance — it's the most predictable problem in the entire affiliate workflow. Which is exactly why it's the easiest one to automate.

A minimal process with no AI at all

Honestly: basic tracking can be built in Google Sheets. One promo code registry with columns for code, offer, partner, expiry date and owner, conditional formatting on the date, and a habit of reviewing the sheet every Monday. That's already better than nothing.

The weak points are just as honest: the registry has to be filled in by hand (while codes arrive in chats), reminders depend on habit, and past 50+ active codes the spreadsheet stops working.

What it looks like with an assistant

1

A single registry

All active promo codes with expiry dates in one place. The assistant helps populate the registry — including from the conversations where codes first appear.

2

Early warnings

3 days before expiry, the responsible manager gets a notification: this code for this partner is about to expire — extend or replace it.

3

Pre-launch check

At any moment the manager can ask: "Which promo codes are active for partner X?" — and get an answer in seconds, without digging through spreadsheets and chats.

What this means in money

One ruined launch means days of lost partner volume, the risk of the partner moving traffic to a competitor, and manager hours spent defusing the conflict. Compare that with the cost of a process that simply reminds people about dates. From what we've seen, expiry tracking is one of the fastest-payback automations in a CPA team.
