How to Automate Affiliate Reconciliation with AI

If you run a CPA network or manage an affiliate team, you know this process by heart. The advertiser sends an Excel file. Your manager opens the tracker, exports the data, and compares row by row. Sometimes it takes an hour. Sometimes two. Every month, for every advertiser.

In this article, we'll break down why reconciliation is still a manual process, what exactly can be automated, and how AI cuts this process down to 4 minutes.

Why reconciliation is such a pain

A standard reconciliation looks like this: the manager receives a file from the advertiser in whatever format they prefer — CSV, XLSX, sometimes PDF. In parallel, they export data from the tracker (Affise, Keitaro, Voluum). Then comes the manual matching by conversion IDs, dates, and amounts.

The problems are well-known:

8 reconciliations × 1.5 hrs = 12 hours per month. That's 1.5 working days of one manager — spent entirely on mechanical work that AI can do.

What AI actually automates

An AI assistant for reconciliation solves three key tasks:

1

File normalization

AI reads Excel or CSV from the advertiser regardless of format. It automatically identifies columns with conversion IDs, dates, and amounts — even when they're named differently by each advertiser.

2

Matching against the rate register

The assistant knows the current rate register and accounts for rate changes throughout the month. It recalculates amounts automatically — no manager involvement needed.

3

Discrepancy detection

The output is a ready-made file with highlighted discrepancies — which conversions appear in the advertiser's file but not in the tracker, where amounts don't match, and where duplicates exist.

What it looks like in practice

Instead of opening the tracker and manually exporting data, the manager simply writes in the chat:

Manager: here's the reconciliation file from TrafficBoost for May, please match against our data

A few minutes later, they receive a file with highlighted discrepancies, a list of conversions to investigate, and the total discrepancy amount.

All that's left for the manager is to review the discrepancies and reach out to the advertiser. The mechanical part of reconciliation takes 4 minutes instead of 90.

How much time this saves

If you have 10 advertisers and each reconciliation takes an average of 1.5 hours — that's 15 hours per month just on reconciliations. At an average manager cost of $2,000/month, that's roughly $375 per month for this single process alone.

With an AI assistant, those same 10 reconciliations take 40 minutes. The difference — over 14 hours of free time per month per manager. Time that can be spent working with partners, not fighting Excel.

What you need to get started

Automating reconciliation requires three things:

  1. Tracker integration — Affise, Keitaro, Voluum or any other tracker via API or BigQuery
  2. Up-to-date rate register — in Google Sheets or Excel format, synced automatically
  3. AI assistant — one that can read advertiser files and understands the specifics of your business

Setup takes 1 to 3 weeks depending on integration complexity. After that, the process becomes fully automatic.
