Affiliate Manager Handover Without Losing Traffic: a Checklist

A manager quits, goes on leave or moves to another team — and suddenly it turns out half of what mattered existed only in their head and personal chats. The new manager "gets familiar with the accounts", partners reply slower, volumes dip. From what we've observed, an unprepared account handover can cost 10–30% of traffic — and recovery takes months.

Why traffic drops during rotation

The handover checklist

1

Write down every active agreement

For each partner: current rates and where they're recorded, special terms, promises not yet delivered, open questions. In writing — not "verbally during the handover".

2

Preserve access to chat history

If communication ran through a work account, make sure the history stays with the team. If it was personal — at minimum export the key chats.

3

Do a warm handover

A joint message to the partner from the old and new manager, then a 1–2 week overlap where the new manager answers and the old one backs them up.

4

Prioritize top partners

A handful of partners usually drive 80% of volume. They get personal attention in the first weeks: fast replies, proactive contact, zero gaps.

The golden rule: a handover is a project with deadlines and an owner — not "sit next to me for a week". If the handover isn't scheduled, it won't happen.

How AI removes the problem itself

The checklist above fights the consequences of knowledge living in people. The systemic fix is making knowledge live in the system.

When all partner communication is automatically indexed, the new manager simply asks: "What did we agree with partner X on rates?" — and gets an answer with quotes and dates. "Why don't we give partner Y offer Z?" — same thing. The handover turns from archaeology into a few queries. And per-partner digests — agreement history, recent activity, open questions — are generated automatically, not the night before someone's last day.
